Code of Conduct for Interns
Guidelines specifically tailored for remote interns at the Vijoriya Foundation to ensure a productive and smooth virtual internship experience:
1. Code of Conduct
Professionalism in Communication: Maintain professionalism in all online communication channels, including emails, virtual meetings, and messaging apps (e.g., Slack, WhatsApp). Be respectful and considerate in every interaction.
Punctuality for Online Meetings: Attend all virtual meetings and webinars on time. Be proactive in communicating any potential delays or absences.
Virtual Etiquette: When participating in online meetings, mute your microphone when not speaking, dress appropriately, and ensure your background is professional or use virtual backgrounds when necessary.
2. Learning & Development
Online Learning Resources: Engage with the learning resources provided, such as Coursera courses, webinars, or reading materials. Track your progress on these platforms and ask for guidance when needed.
Mentorship: You will be assigned a mentor or supervisor who will support your learning. Be proactive in scheduling virtual check-ins to seek advice and discuss your progress.
Self-Directed Learning: Since remote work requires more independence, make sure to allocate time for self-learning and exploring additional resources relevant to your role.
3. Work Assignments & Responsibilities
Time Management: Use tools such as Google Calendar, Asana, or Trello to manage your tasks and deadlines. Remote work requires discipline, so ensure you allocate sufficient time for each task.
Daily/Weekly Reporting: Submit daily or weekly progress updates via email or the chosen project management platform. This ensures your supervisor is aware of your work and can provide feedback.
Deliverables: Complete tasks within the assigned deadlines and keep your supervisor informed if you encounter any challenges.
4. Communication & Availability
Regular Check-ins: Schedule regular video or phone calls with your supervisor for updates on your work. This may be weekly, bi-weekly, or as agreed upon.
Availability: Clearly communicate your working hours, especially if you are in a different time zone. Make sure your supervisor knows when you will be online and available for meetings or discussions.
Responsiveness: Respond promptly to emails and messages, ideally within 24 hours, unless otherwise specified. Set clear expectations if you are unavailable.
5. Remote Work Setup
Workspace: Ensure you have a quiet, dedicated workspace with a reliable internet connection to perform your tasks efficiently. If any technical issues arise, notify your supervisor immediately.
Tools and Platforms: Familiarize yourself with any collaboration tools used by the foundation, such as Google Workspace (Docs, Sheets, Drive), Zoom, or Microsoft Teams. If you need assistance with any tools, don’t hesitate to ask.
6. Ethics & Confidentiality
Data Security: Ensure the security of any confidential or sensitive information shared with you. Use secure platforms for communication and document sharing.
Confidentiality Agreement: You may be asked to sign a confidentiality agreement, ensuring that any internal information or data related to the foundation remains secure.
Ethical Conduct: As with on-site work, uphold the highest ethical standards in all your actions, including research, communications, and work on behalf of the foundation.
7. Social Media & Digital Presence
Social Media Conduct: If you share your work experience online, ensure it aligns with the foundation’s brand and values. Always seek permission before posting anything directly related to foundation projects.
Professional Profiles: Keep your professional profiles (e.g., LinkedIn) updated, and mention your internship with the Vijoriya Foundation to build credibility.
8. Collaboration & Teamwork
Virtual Collaboration: Collaborate with fellow interns and team members using the chosen platforms (e.g., Slack, Microsoft Teams, Google Meet). Be an active participant in group discussions and contribute to team projects.
Cultural Sensitivity: Working remotely may involve interaction with people from diverse cultures and time zones. Be mindful of cultural differences and maintain respectful communication.
9. Flexibility & Adaptability
Adapt to Changes: Be flexible in adjusting to any changes in your schedule, assignments, or the foundation’s priorities. Remote work requires adaptability, as circumstances can shift quickly.
Self-Motivation: Working remotely requires high levels of self-discipline and motivation. Set daily goals to stay on track and maintain your productivity.
10. Feedback & Improvement
Continuous Feedback: Actively seek feedback from your supervisor on a regular basis. This will help you improve and adjust your work practices to meet expectations.
Self-Assessment: At the end of your internship, reflect on your remote work experience, what you’ve learned, and areas for improvement. Submit a final report detailing your contributions and insights.
11. Attendance & Commitment
Attendance at Virtual Events: Attend all mandatory online meetings, webinars, and events as scheduled. If you are unable to attend, inform your supervisor in advance.
Commitment to Hours: Stick to the agreed-upon working hours and ensure you log your time appropriately if required. Notify your supervisor if you need flexibility.
12. Exit Process
Final Review & Submission: Before concluding your internship, participate in a final review meeting with your supervisor to discuss your contributions, learning outcomes, and future goals.
Certification: Upon successfully completing the internship, you will receive a completion certificate from the Vijoriya Foundation.
13. Adherence to Mission
Mission Alignment: Ensure that all tasks, projects, and initiatives you undertake remotely are aligned with the Vijoriya Foundation’s core mission of social welfare, environmental sustainability, and empowering underprivileged communities.
Passion for Social Change: As an intern, you are expected to embody the foundation's values and actively contribute toward positive social and environmental change.
